About Operations at Plantioxidants: The Plantioxidants Operations team specifically addresses and focuses on internal operations and processes at Plantioxidants. More broadly, being a nimble company with big goals means our Operations Team plays a much larger role in executing the mission than simply organizing paperwork and taking calls. While the team is tasked with ensuring Plantioxidants is running smoothly on a day-to-day basis and improving efficiency and effectiveness as needed, it also works closely with all other teams to assist with everything from strategy to PR and social media outreach to the customer experience. The Operations team works directly with senior leadership. Similar to all departments in the company, it is crucial to be curious about being better professionally while working on the Plantioxidants Operations team.

Overview of the role: The Office Assistant demands dynamism and is one of the most important roles at Plantioxidants. The role will address the four areas below that require organization and being detail-oriented, but given the direct access to Technology, Marketing, and other teams means the role will also demand creativity, grit, and a willingness to take on the challenge of being exposed to all aspects of the business. The role will demand working on tasks that are unfamiliar and difficult, so self-motivation and drive for success is paramount.

High-level, it has several key areas of focus:

  1. Supporting internal operations
  2. Directly assisting the Chief Executive Officer
  3. Assisting office management
  4. Supporting and conducting administrative tasks

What you’ll be doing:

  • Promptly act on all incoming/outgoing vendor materials
  • Manage and complete customer order shipping and returns
  • Own entire process of customer-product logistics workflow
  • Monitor stock room for cleanliness and maintain supply levels (including all inventory)
  • Record meeting minutes with a high degree of detail and organization, and disseminate in a timely manner
  • Assist as needed in meeting preparations, including but not limited to PowerPoint deck creation and/or any necessary miscellaneous data, analysis, and/or research
  • Handle highly confidential and highly sensitive company details and matters with discretion and tact
  • Screen and route necessary general incoming calls/emails
  • Handle any office technology updates and any necessary equipment purchasing and needs
  • Assist CEO on any ad hoc projects and work, as needed
  • Order and track all existing office supplies
  • Maintain and organize high-level structure of digital (ex: Google Drive) and hard copy filing systems
  • Ensure the company is compliant with all environmental, safety, and maintenance requirements per company, state, and federal mandates
  • Handle and process payroll and conduct general human resources (HR) tasks
  • Manage basic bookkeeping
  • File and obtain necessary corporate records, documents, and reports
  • Open, sort, distribute, and potentially escalate any income faxes, emails, or other correspondence within the Operations Team domain
  • Onboard new employees and maintain employee handbooks
  • Keep all internal processes up to date
  • Coordinate any necessary travel plans
  • Plan team events, as needed
  • Execute projects in time and within budget
  • Effectively communicate goals and objectives with varying teams

Ideal candidate:

  • Interest in beauty, health, and sustainability
  • Proven record of extreme attention to detail, organization, and discretion
  • Minimum of 2 years of experience in Assistant or Administrative role
  • Ability to work with senior leadership
  • Bachelor’s degree is preferred
  • Highly proficient in Microsoft Office (PowerPoint, Word, Excel) and Google Suite/Drive (Calendar, Sheets, Docs, etc.)
  • Proficient with finance software like Quickbooks
  • Understanding and ability to quickly learn state and federal level employment regulations and rules
  • Experience working with Shopify and ShipStation is a plus
  • Comfort using Adobe Suite is optional
  • Ability to organize daily workload priorities and a proactive approach to all forms of work
  • Able to prioritize and follow up on tasks efficiently, while handling competing deadlines
